On 17.6.2016 a Pre-Board meeting was held and chaired by Ln
Thomas Ho.
At the meeting one of the points Ln Thomas Ho had brought up for implementation
was to do away with the existing Whatsapp Group and replace it with another Whatsapp
group. His reasoning was that some members had left the group thus requiring a
new group. He had suggested a new Whatapp group name which I cannot recall.
I was surprised that no one said anything at all. At a
subsequent fellowship gathering after the BOD meeting Ln CC Pung had suggested
to Ln Delce that a better idea would be to keep that same group and bring back
all those who had left.
Ln Delce then changed the name from “Lions Club KK Host” to “Lions
Club KKHost 2016/2017” and added all the members who had left the group.
Ln Francis was not at the fellowship meeting.
1. So, who had instructed him not to write the instructions given at the Pre-Board meeting?2. Why was this important instruction not minuted.3. Should what was discussed/instructed at a BOD meeting be omitted at the whims and fancies of the Secretary or President?
I know some here will say that not all things need to be
minuted but before anyone says that let me say that this was an important
instruction and it reflects on the thinking of the President.I have been the secretary of many companies for many years and I believe I know what is important and what is not.
At the fourth Board Meeting dated 11.10.2016, in which I was
not present, some matters on my emails and FB postings were mentioned. It was
decided that the BOD was not the appropriate forum and a committee will be set
up to discuss this matter at a later date.
Minutes prepared by the Secretary was asked to be changed by
the President with another set of minutes. The words ‘Bad Words’ were now
included in the minutes which I understand, from a few of the members present
at the meeting, were not uttered at the meeting.
It is obvious from the wordings of the minutes that they are
neither the words of Ln Thomas Ho nor the words of Ln. Francis. I believe those
were the words of the puppeteer.
Here is what was written in the minutes and you may debate if
those words are from Ln Thomas ho.
President tabled an email from
Ln. Luqman Mitchel dated 11th September,2016 calling the President by using bad word and
accusing and threatening the President. Copies of the email and various
postings from Ln. Luqman’s facebook were distributed to all members at the
meeting.
Concern was expressed on the
tension, aggression, discomfort and conflict caused by such behavior which does
not augers well for the harmony and unity of KK Host members and it also
violates our Lions Code of Ethics.
After establishing that it is
a club’s matter, President requested the Membership Committee to look into the
issues and make recommendations on an appropriate action for the Board to take.
However, Membership Chairman declined on the ground of conflict of interest as
he is also Ln. Luqman’s sponsor and suggested the Past Presidents’ Council
instead.
It was resolved to request the
Past Presidents’ Council to look into all the issues and make recommendations
to the Board.

"Minutes are a record of the issues discussed and decisions taken at a meeting. The draft minutes by the Lion Secretary are properly done and any amendments may be proposed at the next meeting."
Yes, whatever is discussed must be recorded by the Secretary and any amendments may be proposed at the next meeting.
